POP3 vs IMAP

POP3 and IMAP are protocols that enable email traffic. But what’s the difference, and which one should you choose?

POP3

POP3, which stands for Post Office Protocol 3, is the latest version of the POP internet standard. It was developed for transferring email from an email server to a local email client without a constant internet connection. Messages are stored locally and can be viewed and edited without an internet connection. After retrieving the mail from the email server, the message is deleted from the server.

Advantages of POP3:

  • You don't need to be always connected to the internet.
  • No issues with exceeding mailbox size. You clear your INBOX each time you retrieve your email.

Disadvantages of POP3:

  • Without a proper backup, all your emails will be lost if your computer crashes. If you use the POP protocol, ensure you have a good backup!
  • POP is not suitable if you read email on different devices. Since you download the email from the server, it is only stored on that specific device.
  • You cannot collaborate with multiple people in a POP mailbox.

IMAP

Internet Message Access Protocol, or IMAP, is a protocol for synchronizing email between a server and an email client. IMAP is now in its 4th version, and the option for security has been added in this version. While unsecured IMAP connections run on port 143, IMAP over SSL uses port 993.

IMAP is a much more complex and comprehensive protocol than POP3. With IMAP, you generally work directly on the mail server via the internet. Therefore, an internet connection is always required. However, you can also choose to work in an offline mode, where you store the email locally and sync your changes with the mailbox on the server when you connect.

Advantages of IMAP:

  • If your laptop, tablet, or smartphone crashes, a copy of your email is always saved on the server.
  • Email can be viewed simultaneously on multiple devices. You see the same emails on each device.
  • You can work together with your colleagues in one INBOX.

Disadvantages of IMAP:

  • You always need an internet connection to view email.
  • Emailboxes must be managed to avoid exceeding the maximum size.
